Hive-Zox is seeking an experienced Operations Coordinator to oversee and optimize product operations. The ideal candidate will be skilled in supply management principles, have excellent communication and negotiation skills, and possess strong record-keeping abilities. As the Operations Coordinator, you will be responsible for ensuring the efficient distribution of goods, monitoring shipping costs, and overseeing transportation from one location to another.

The Operations Coordinator role at Hive-Zox demands a detail-oriented, tech-savvy individual with strong organizational and problem-solving skills. You need to excel in coordinating logistics, optimizing procedures, and promptly resolving issues. You must communicate effectively and coordinate with the calibration team and transportation companies. Your adaptability and accuracy in record-keeping are crucial. Embracing a customer-centric mindset and possessing a drive for operational efficiency and profitability are essential. This role requires you to thrive in a fast-paced environment and ensure the timely delivery of goods while upholding high service standards.
Responsibilities
Utilize technology to optimize procedures and ensure efficient distribution of goods.
Collaborate with the calibration team according to availabilities and requirements.
Supervise orders and arrange stocking of materials and equipment to ensure they meet needs.
Follow the Production schedule and ensure all finished products are delivered in a timely manner and work to resolve any issues hampering delivery.
Plan and track the shipment of final products according to customer requirements.
Keep logs and records of global stock, executed orders, and daily reports for management.
Coordinate allocation of product for inventory to keep warehouse capacity at optimal levels.
Resolve shipment and inventory issues promptly as they arise.
Process freight claims and billing efficiently.
Guarantee proper and prompt movement of cargo by coordinating with transportation companies.
Verify the accuracy of shipping papers and purchase orders.
Maintain service standards that satisfy necessary requirements.
Improve the organization and efficiency of the supply chain by establishing procedures.
Ensure accurate record-keeping by documenting all sales-related activities, including sales calls, pertinent account and contact activities, and account profiles in Salesforce.
Required skills & experience.
3-5 years of experience in logistics, packaging, freight forwarding, or 3PLs.
Strong communication skills in English and French, both written and oral.
Organization and planning skills; ability to coordinate multiple tasks, people, and processes effectively.
Attention to detail; ability to accurately and precisely monitor and track shipments, inventory, and documentation.
Communication and interpersonal skills; ability to work well with others, resolve conflicts, and communicate effectively with vendors and team members.
Problem-solving skills; ability to identify and resolve issues that arise in the supply chain, from shipping to inventory management.
Analytical and critical thinking skills; ability to analyze data and trends to make informed decisions and recommendations.
Knowledge of logistics software and systems; ability to use technology to optimize procedures and track inventory, shipping, and production.
Knowledge of international logistics and customs regulations; ability to manage global shipping and customs requirements.
Preferred Skills.
Specific experience in temperature-controlled logistics, pharmaceutical logistics, and cold chain logistics are considered a plus.
A bachelor’s or master’s degree in operations management, supply chain management, or a related field.
Additional language skills would be a bonus.
